FreshBooks Login Help for Owners and Invoice Clients

Which FreshBooks Screen Do You See?

Start with the screen in front of you.

A request for a FreshBooks code: You have reached the two-factor authentication stage for email-and-password access. FreshBooks states that 2FA is required for this type of login.

An invoice with other outstanding invoices: You are likely using client access. FreshBooks provides a client-account route from received invoices.

Signing In With Email and Password

Open the FreshBooks login page and enter the email address associated with the account. Enter the FreshBooks password, then continue through the authentication process.

Type the email manually during troubleshooting. Saved browser data can insert an outdated email or password, especially when more than one FreshBooks account has been used on the same computer.

FreshBooks’ official login guidance specifically identifies autofill as a possible source of incorrect credentials. Temporarily turn it off, clear both fields, and type the account information again.

A private browser window is the next useful test. It separates the login attempt from most existing cookies, saved sessions, and extensions without immediately deleting ordinary browser data.

Watch the email field after the page loads. Some password managers fill credentials a moment later and can replace an address that was just typed.

Do not create another FreshBooks account during this test. A new signup may open successfully but lead to an empty business that has no connection to the original records.

Google and Apple Are Separate Login Routes

FreshBooks provides dedicated Sign in with Google and Sign in with Apple controls. These should be used when the account was originally created or connected through one of those providers.

Do not type an Apple or Google password into the standard FreshBooks password field. That field is for a FreshBooks password.

FreshBooks explains that password resets for the connected Apple or Google account must be handled through Apple or Google. A separate FreshBooks password can serve as a backup only when one has already been configured.

Users who can still enter through Google or Apple may add that backup:

  1. Sign in with Apple or Google.
  2. Select the profile picture or initials.
  3. Open Account Profile.
  4. Select Change password under the Password field.
  5. Enter the new FreshBooks password.
  6. Select Save Changes.

Afterward, FreshBooks states that both the connected provider and the FreshBooks password can be used to sign in.

Set up the backup before disconnecting anything.

FreshBooks also documents Disconnect Google Account and Disconnect Apple Account links. When no FreshBooks password exists, the company instructs the user to create one before disconnecting the external provider.

Resetting a Forgotten FreshBooks Password

Select Forgot Your Password? from the FreshBooks login page. The recovery screen asks for the email address and states that reset instructions will be sent when the address is typed correctly.

Use this sequence:

  1. Enter the likely account email manually.
  2. Send one recovery request.
  3. Check the inbox and filtered folders.
  4. Wait roughly 15 minutes.
  5. Confirm whether Google or Apple was the original login method.
  6. Contact FreshBooks when the email still cannot be matched.

FreshBooks says a reset email is sent only when the address matches an account on file and recommends checking junk or spam folders after about 15 minutes.

A missing reset message does not automatically mean FreshBooks is broken. The account may use another work address, an older address, or provider-based access.

Use the newest recovery message after submitting more than one request. Avoid opening several old messages in random order.

Never send the recovery link to another person. The FTC warns that phishing messages commonly imitate overdue invoices or account problems and direct people to fake login pages. Its advice is to contact the company through a site or contact method already known to be genuine.

When Two-Factor Authentication Stops the Login

FreshBooks requires two-factor authentication when signing in with an email and password. Google and Apple sign-ins do not use FreshBooks’ own 2FA step.

This creates a clear diagnostic split:

  • Password rejected before the code screen: check the password or email.
  • Password accepted but code rejected: troubleshoot 2FA.
  • Google or Apple login failing: troubleshoot the connected provider route.

Do not keep resetting the password when FreshBooks has already accepted it and moved to the authentication-code screen. The second factor is now the blocked stage.

Confirm that the correct authentication entry is open and that the device clock is accurate. Codes generated by authenticator apps depend on time synchronization.

When access to the registered authenticator is lost, follow FreshBooks’ documented support process rather than asking another person to receive or relay a code. FreshBooks’ 2FA guidance includes device-registration and account-support instructions for access problems.

The National Institute of Standards and Technology describes multifactor authentication as protection that combines more than one authentication factor. NIST also recommends MFA and strong, unique passwords for small-business accounts.

FreshBooks Opens, but the Business Is Missing

This is not always a data-loss problem.

FreshBooks may give one user access to multiple businesses and ask which one to open after login.

Check four possibilities:

Another business is selected. Return to the available-business list or account controls and look for the expected organization.

A different email was used. A personal address and a business address may lead to separate FreshBooks profiles.

The wrong login method was chosen. The expected business may be tied to Apple or Google access rather than the password login being tested.

A client account was opened. A client account displays documents received from a business; it is not the business owner’s accounting workspace.

Contact support before recreating clients, invoices, or expenses in a blank workspace. State that login succeeds but the expected business is not available. That description separates the issue from a total account lockout.

Client Accounts and Invoice Access

FreshBooks client accounts let invoice recipients view documents sent by a business. FreshBooks instructs clients to begin from an invoice email and select the link showing other outstanding invoices.

An existing client enters a password and selects Log In. Someone who has not created a client account can add a password and select Get Started. The client account may then show Pay Outstanding Invoices above the invoice list.

Use the original invoice route first. Skip searching for a separate owner dashboard when the goal is only to review or pay a received document.

Confirm that the message came from a business you recognize. Then verify that the opened page is on a FreshBooks-controlled domain.

The FTC specifically warns that fake invoice and account messages may be used to steal login or financial information. Open the company website independently when a message seems unexpected or inconsistent.

Check for a FreshBooks Outage

Check it before making account changes.
